Question: Can one administrator manage entries on behalf of a number of individuals or teams?

Answer: YES.

1. Register with your details for the master account, e.g. regionalpressawards@newspaper.co.uk  using Option B.  Register as an Administrator.
2. Login using your master account and the password you were sent when you registered for it.
3. When you log in to your account home page you will have the option to add new registrants to your account ( i.e people or teams that you may like to submit an entry for).
4. When you submit an entry you will now be offered a drop down list at the top of the first page of the entry form listing the names of all your associated registrants.
5. Pick a person from this list and then continue to make a submission on thier behalf.
6. This submission will be made on behalf of that person, and to the system will appear to be an entry made by them.
You will be able to edit and review all entries that you make on behalf of your associated registrants.

Question: How many pieces of work are you allowed to enter - or is it literally just one piece or can I supply a number of cuttings per entry?

Answer:

For each entry you make in the majority of the General categories you can supply up to three items (normally PDFs and/or JPGs)  to support your submission – these can be on a specific theme (e.g. Crime in the UK) or just as a generic collection of work demonstrating your prowess.

For photograpic categories you are asked to supply up to three items but to send both an image of the original in JPG format and a PDF of how it was shown on the page (six files uploaded in total).

For Supplement of the Year you are also asked to provide hard copies of the supplement, SIX hard copies of TWO editions of the Regular Supplement or SIX hard copies of a Special Supplement.

For the Newspaper of the Year categories, you are asked to supply hard copies of the paper, ONE copy of THREE editions of the publication.

Online Exceptions

Front Page – submit up to three PDFs online – each one has a chance of being shortlisted

Supplement – submit at least one PDF online – to be used to illustrate your entry if shortlisted (usually a front page)

Photographic categories - supply the original image as well as a PDF showing the image as published in situ on the page of the newspaper - i.e. upload six files - ideally 3 JPGs and 3 PDFs.

Question: Can one person be entered a number of times in one category and/or for a number of categories.

Answer: Yes

If they are entering for more than one category but for the same paper they can use the one registration they have made but submit multiple entries.

If they are being entered by two separate papers they will need to register twice so that the right paper gets billed and congratulated!

Question: Do I need to send copies of my entry by post?

Answer:  Only for Team Awards (Newspaper of the Year awards) and Supplement of the Year

- For Team Awards ONE hard copy of THREE editions of the paper
- For Supplement of the Year SIX hard copies of TWO editions of the Regular Supplement or SIX hard copies of a Special Supplement

These should be sent by post to: the Regional Press Awards, Society of Editors, University Centre, Mill Lane, Cambridge, CB2 1RU. You must complete an online entry first where you will be asked to supply a supporting statement of up to 300 words. 2

Please include the entry reference number (found on your account home page next to your submitted entry), your name, sponsoring paper and the email address associated with your registration with all copies sent by post.

The registrant will receive a confirmation email once hard copies have been received. Hard copies must arrive on or before 15 March 2018.

Question: What if my story runs onto more than page?

Answer: Upload a multi page PDF

If a story runs over more than one page you can upload a multi page PDF as long as the file size does not exceed 5MB.

Your IT department should be able to assist with merging PDFs.
